Volunteer Coordinator

 The volunteer coordinator recruits, assists in training, and manages volunteers for various Stafford County Hartwood Days Festival positions & projects that address specific Festival and community needs. The volunteers recruited by the volunteer coordinator should reflect a balance of local community members, service organizations, and others who can participate in a range of volunteer service positions. Basic volunteer service positions include

  • Short Term - one-three day, during the Festival positions,
  • Mid Term – longer commitment, prior to the Festival and during the festival
  • and Long-term - committee positions

The volunteer manager reports directly to the Festival Chair.

 

Attributes – who are we looking for:

  • Go getter, able to motivate yourself, 
  • Experience in leadership role is a plus
  • Experience recruiting, training, managing, and supporting groups of people
  • Ability to build relationships and work with volunteers, staff, and community members
  • Strong language and communication skills (written and oral)
  • Ability to give presentations to large groups
  • Community service experience
  • Ability to work with people from diverse backgrounds
  • Ability to work well independently and on a team
  • Maturity and good judgment
  • Enthusiastic and positive attitude toward helping others

 

Responsibilities:

  • Assist site staff in identifying volunteer needs/requirements through needs assessment and ongoing communication with Festival Committee area directors
  •  Research relevant community organizations to coordinate additional volunteer opportunities for both the Festival committee and the community organization to work together. 
  • Work with site staff and Corps members to plan annual volunteer appreciation event
  • Establish and regularly update volunteer listings on websites 
  •  Communicate regularly with volunteers through check-in phone calls, e-mails,
  • and personal appreciations for their efforts
  •  Collect and log volunteer hours in volunteer tracking system and report hours
  • Collect and manage feedback from all parties involved in volunteer activities, including volunteers, Committee members, and community members through written reports, testimonials, and verbal comments
  •  Share feedback with Festival staff to acknowledge strengths, successes and to make improvements for future volunteer activities
